Data capturers enter, check and update information in spreadsheets and company systems quickly and accurately. It is a common entry-level job in South African banks, insurers, hospitals, government departments and BPO companies.

Turn on JavaScript to track your progress. The lessons are:FoundationsLearn the spreadsheet basics: rows, columns, cells, entering data, saving and simple formatting.Task: In Google Sheets or Excel, create a table of 20 made-up customers with columns for name, surname, phone number, town and date joined. Format the header row, freeze it and save the file with a clear name.Core skillsCapture data accurately and use sorting, filtering, data validation and simple checks.Task: Add a drop-down list (data validation) for the town column, sort the table by surname, filter for one town, and use COUNTIF to count customers per town. Write one sentence on what each feature does.Applied practiceWork at speed and accuracy on a realistic capturing task and check quality.Task: Capture 50 records from a printed or photographed form (for example a sign-up sheet you create) into a spreadsheet in under 30 minutes. Then swap with a friend to check each other's work, count the errors, and write how you will reduce them.

What competent looks like

Captures data with 98% or better accuracy
Uses data validation and drop-down lists to prevent errors
Sorts and filters data to find records quickly
Uses COUNTIF or similar formulas to check totals
Keeps personal information confidential (POPIA awareness)

The South African route

There is no regulator for data capturing. ICDL spreadsheet modules are a widely recognised proof of skill in South Africa, and some end-user computing learnerships are offered through SETAs. Keep a portfolio of sample spreadsheets and a typing test result.
